Use the Viva Glint Broader Team Insights feature
Managers’ teams are often too small to allow them access to their own team’s survey results. Microsoft Viva Glint considers a small team as a team with less than five team members or a team who's survey respondents didn't meet the required confidentiality threshold. Enabling Broader Team Insights (BTI) empowers managers to impact employee engagement even when their own team's data can't be viewed or shared.
Empower managers of small teams
Managers of small teams may not have enough team members overall or enough respondents to view their team’s survey results. While it's critical to protect survey respondents’ confidentiality, it's also critical to empower small team managers with feedback and action-taking capabilities. Broader Team Insights (BTI) helps bridge that gap.
BTI isn't only limited to managers of small teams. Team leaders at all levels who use BTI are better able to anchor their team’s feedback in the context of their larger department. Extended access to feedback facilitates better conversations and aligns actions with cross-functional teams.
What does the Broader Team Insights dashboard show?
The BTI dashboard allows managers to review a high-level summary of their direct team leader’s results. For small team managers who don't have access to their own team’s results, BTI provides:
- Visibility into their broader team’s opportunity areas
- Access to dashboard and action-taking capabilities
- Starters for ACT and 1:1 conversations
- Ownership and accountability for their team’s engagement scores

Access Broader Team Insights
When results are ready, the team manager receives an email with a link to view results. The email may indicate that while results are available, there is no access to the manager's own team’s results. Because confidentiality standards weren't met, a summary of results of the next team who did meet confidentiality requirements are instead available for reviewing and sharing. This BTI summary report view provides the manager the opportunity to see guidance on how to have a conversation with their own team about the survey results and an abbreviated view of the Executive Summary report.
Set up Broader Team Insights
From the admin dashboard, BTI is enabled following this procedure:
- Select Survey Programs.
- Select the program name to be enabled.
- Select Reporting.
Set up Program Roles
The first section in Reporting is Program Roles. In this section, customize how your dashboard displays results and when your people can view survey results - Live or Phased access. Setup is role specific.
Note
When a manager is in a role with Broader Team Insights enabled, cascaded results are based on custom permissions, not their rollup managerial hierarchy. Decide whether this role’s reports are visible to directs only or are visible to their entire roll-up hierarchy. ON enables sharing of report. OFF disables the role from sharing reports.
- Use the dropdown menu to assign report visibility to direct report or roll-up hierarchy.
- The padlock icon symbolizes that this role isn't editable on this page and can only be edited in Program Setup.
- Hovering over a role displays the trash can symbol. Select the trash can to remove that role.
Live versus Phased reports access
There are two levels of reporting access in Viva Glint:
- Live access: Reporting access is readily available, in real time, as surveys are completed. Admins always have Live access and can't be included in Phased access rollout.
- Phased access: Recommended for managers and HRBPs (Human Resources Business Partners) for action planning, tracking, and reviewing feedback results for completed surveys. Phased access excludes this role group from real-time, live survey results. Phased access is configured at the program level but occurs at the cycle level.
Important
BTI functionality honors Live/Phased setting for the leader of the team whose report date is being used by a small team manager using BTI. This functionality overrides the original manager's access. Example: If a small team manager's direct leader is enabled for Live access, the access level of the small team manager with BTI enabled also has Live access to results for this survey. The small team manager's access changes to Live, even if their own access is set to Phased.

Tip
Set a calendar reminder to grant Phased access to leaders who have Live access permission only.
How turnover affects what Broader Team Insights results display
Turnover within roles is inevitable. For this reason, as with action taking, we recommend that either HR or the next level up manager exports all feedback results to save and share offline as needed.
A manager’s feedback won't transfer to a new manager that fills that position. Feedback is specific to a manager at the time the survey is taken. Survey results are point-in-time and only reflect results of the manager in that position at that time.
Change access once User Roles are set
Access can be changed in Program Summary for upcoming cycles and Live cycles. All upcoming surveys for that program are changed.
To change the access:
- In Program Summary switch the Approved status from YES to NO.
- Select Save Changes, then switch Approved status from NO to YES.
